Who we are and what this policy covers
Work & Pay is operated by Urbano Technologies Ltd, a Ghanaian company, registration number CS088470426. We are responsible for personal information we use to operate Work & Pay. This policy covers the app, its web services and these public legal pages.
Work & Pay supports vehicle owners, drivers, fleet managers and authorised administrators with agreements, payments, identity verification and vehicle records. Contact details for privacy requests are below.
Information we collect
- Accounts and profiles: phone number, email where provided, name, account role, profile photograph, residential address and Ghana Post digital address.
- Agreement and vehicle information: vehicle details, ownership and insurance documents, agreement terms, signatures, handover evidence, maintenance or dispute reports, contract messages and default-notice records.
- Verification: identity documents, identity details, selfie and liveness information submitted through Identified, verification decisions and relevant evidence. Driving-licence information may be required for a driver.
- Financial records: payment references and statuses, amounts, schedules, wallet activity, automatic-payment consent, saved payout destinations and transfer outcomes.
- Service and security information: device and push-notification tokens, connection and diagnostic information, session records and security events needed to operate and protect the service.
- Other people you identify: next-of-kin, guarantor or representative details you provide in connection with an agreement.
We receive information from you, authorised counterparties, service providers and the activity you carry out in Work & Pay. Provide only information needed for the relevant feature.
Why we use information
We use information to create and secure accounts; verify identity; prepare and administer agreements; calculate and display payment schedules and balances; process payment and payout instructions; manage documents, handover, maintenance and disputes; communicate service updates; and investigate errors or misuse.
Processing must have a lawful purpose. Depending on the activity, we rely on consent, the needs of an agreement or payment instruction, applicable legal obligations, or legitimate interests permitted by law. Where a use requires consent, we request it. Declining information necessary for a feature can prevent that feature from working. Withdrawing optional consent does not cancel an existing agreement or remove records we must lawfully retain.

Identity checks and payments
Identified provides hosted identity-document and selfie/liveness verification. Information submitted in that verification flow is processed by Identified and the relevant results or evidence are used by Work & Pay. A pending or review-required result is not represented as a completed verification.
Paystack processes supported mobile-money, card and bank payment or payout flows. Card details are entered through the provider's payment flow; Work & Pay records payment references, outcomes and financial records rather than storing your full card credentials.
Wallet top-ups are credited after provider confirmation. Wallet-funded automatic payments require your explicit consent, can be disabled, and use available wallet funds. We retain consent and payment records to explain what was authorised and what occurred.
Security, sessions and notifications
Work & Pay uses authenticated access and access controls for protected records and document downloads. Identity verification and financial status are checked by the service; a cached screen does not itself establish that a person is signed in or that money has settled. No online service can guarantee complete security, so report suspected account access or incorrect payout details promptly.
Web account sessions use an HttpOnly refresh cookie. Access credentials are kept in memory; native refresh credentials use protected device storage. Local preferences or pending-request references may be kept so an interrupted action can be checked safely. These are functional storage uses, not advertising tracking.
Work & Pay does not use advertising trackers to target you based on agreement or payment information. These public legal pages load font styles from Google Fonts, which may receive connection information such as your IP address and browser details.
Transactional notifications can include payment, verification and agreement updates. A provider's acceptance of an SMS, email or push request does not prove that you read it. Review important agreement and payment records inside the app.
How long we keep information
We keep information for the period needed for its purpose, including administering agreements, reconciling financial records, resolving disputes, security and applicable legal obligations. Different record types can require different retention periods. We do not promise that closing an account immediately deletes agreement evidence or financial audit records. When retention is no longer necessary, information should be deleted or de-identified as appropriate.
Legal reference: Act 843, section 24.
Your choices, rights and complaints
You may request access to your personal information, correction of inaccurate records, information about its use, or deletion where permitted. You may withdraw consent for processing that depends on consent, object to relevant processing, and request review of a significant decision based solely on automated processing where the law provides that right.
Send a request using the contact details below. We may need to verify your identity to protect the records. If a legal exception or retention obligation limits a request, we will explain the applicable reason. You can also disable wallet-funded automatic payments in the app; this does not erase completed payments or change your agreement.
You can complain directly to Ghana's Data Protection Commission about personal-data handling. Its official contact and complaint page provides current channels; you do not have to waive that right to use our support process.
Other people and younger users
Work & Pay accounts are intended for adults aged 18 or over. If you provide a guarantor's, next-of-kin's or another person's details, have the relevant authority and let them know how their information will be used. Do not upload unrelated identity documents or sensitive information. Contact us if information about a child or another person was submitted in error.
Changes to this policy
We will update the effective date when this policy changes. Material changes affecting how we use your information will be brought to your attention through an appropriate service channel. A new use that requires consent will require that consent.
